What is Gemini and what is it good for at work?

Gemini is Google's conversational AI app for brainstorming, summarising and drafting. Google's help centre lists jobs such as planning projects, drafting outlines, emails and posts, generating files including Docs, Sheets, PDF, DOCX, XLSX and CSV, and creating charts from data in a response.

Two features matter most at work. Gems are saved custom versions of Gemini with your own instructions and reference files, so a repeat task starts from the same rules every time. Deep Research drafts a research plan, lets you edit it, then reads many sources and returns a report, usually in five to ten minutes according to Google. If your organisation connects Google Workspace, Deep Research can also use Gmail and Drive as sources.

How do I get started with Gemini?

On a computer, go to gemini.google.com, type a prompt in the box at the bottom, optionally attach a file or image, and submit. Google says some features work signed out, but chat history, Gems, file uploads and image generation need a Google Account. You can use a personal account, a work account on a qualifying Workspace edition if you are 18 or over, or a school account your institution has enabled.

If your employer uses Google Workspace, ask whether Gemini is switched on for your work account and use that, because Google's Workspace privacy hub describes different data commitments for work accounts.

A good first prompt is a planning one: 'I am organising [event or project]. Draft a one-page plan with tasks, owners as placeholders and the three risks most likely to delay it.' You can then use the response's alternative drafts or edit your prompt to compare approaches.

What is a good 10-minute Gemini starter exercise?

Use a fictional 15-person events company, Larkspur Events, which writes the same kind of venue brief for every client enquiry.

Minute 1 to 4: open Gems in the sidebar, choose New Gem, name it Venue brief and write instructions: who the brief is for, the headings to use (capacity, access, catering, accessibility, open questions) and a rule never to state a price or availability without a source. Use the option to have Gemini rewrite your instructions in more detail, then read what it changed before saving. Minute 5 to 7: open the Gem and give it an invented enquiry: a 120-person product launch in Manchester in March, step-free access essential. Minute 8 to 10: check the output. Every capacity or accessibility claim needs a source you can open; anything else moves to open questions.

If you have time afterwards, start a Deep Research request on the same enquiry and practise editing the plan, removing sources you do not want before you press Start research.

How do I get better results from Gemini?

Gemini works best when you decide the structure and let it fill the detail. These techniques come from Google's Gemini help pages.

Save repeat work as a Gem

Put role, format and rules in the Gem's instructions and add reference files under Knowledge. Google notes that Drive files stay current, because Gemini uses the most recent version.

Edit the Deep Research plan

Review the research plan and use Edit plan before you start, so the report answers your question rather than a broader one.

Choose sources deliberately

Google Search is included in Deep Research by default; deselect it if you want the report built only from Workspace sources such as Drive.

Ask for a file, not just text

Ask Gemini to produce a Sheet, Doc or CSV when the next step is editing or sharing, so you are not copying from the chat.

What should I not paste into Gemini, and what does Google say about data?

Follow your employer's AI policy. On a personal account, Google's own advice in the Gemini Apps Privacy Hub is direct: do not enter confidential information that you would not want a reviewer to see.

Google says that when Keep Activity is on, your chats are saved and can be used to improve its services and train generative models, a subset of chats is read by trained human reviewers, and activity is auto-deleted after 18 months by default. Reviewed chats are kept separately for up to three years. Temporary chats are not used to train Google's models, and temporary chats or chats with Keep Activity off are kept with your account for 72 hours. For Workspace work accounts, Google's Workspace privacy hub states that customer data is not used to train models and is not human reviewed outside your domain without permission.

Where does Gemini fall short?

Google's help page says plainly that Gemini Apps can make mistakes and that responses should not be treated as professional advice. Deep Research reports cite many sources, but a long report can still misstate one, so check the claims you will repeat.

Features also shift between account types. Google's Gems page says that from November 2026 Gems on personal Google accounts move to a feature called skills, while Workspace connections, Drive sources and some features depend on your account and settings. A tutorial step that works on a work account may look different on a personal one.

How does Tosheo.ai teach Gemini inside a role path?

For teams that work in Google Workspace, Tosheo.ai paths include Gemini tasks set in the learner's role. A sales representative might build a Gem for call preparation, an HR coordinator might plan a research report on onboarding practice and an agency account manager might turn a brief into a structured Doc, all from fictional material.

Each 10 to 15 minute lesson ends with a task in Gemini, marked against a visible rubric for structure, sourcing and review, with specific feedback. Managers on the Team plan see progress, not chat logs. The 7-day free trial needs no credit card.
