What is Notion AI and what is it good for at work?
Notion AI is a set of AI features inside Notion. Notion's product page lists Notion Agent, which creates and edits pages and databases using your workspace, connected apps and the web; Custom Agents that run recurring work on a trigger or schedule; Enterprise Search across your workspace and apps such as Slack and Google Drive; AI Meeting Notes; Research Mode for in-depth reports; writing help in pages; and Autofill for database properties.
Its advantage is context. Because it works where your team's documents already live, it can draft from your own project pages, find last quarter's decision or fill a tracker from meeting notes. In a near-empty workspace it falls back on general knowledge.
How do I get started with Notion AI?
There are three entry points. Press the space key on a new line in any page and type a prompt, and Notion AI writes directly on the page. Highlight existing text and choose Edit with AI to fix grammar, shorten or change tone. Or open Notion Agent from the sidebar or the bottom corner of the screen to ask about your workspace or hand it a multi-step task.
What you can use depends on your plan and your workspace admin, who decides which AI features and models are switched on. Notion Agent can use Auto to pick a model per task, or a model from one of several providers, with some premium models needing admin approval.
A 10-minute Notion AI starter tutorial
The example is fictional. Leo is an account manager at Bramble Events, a fictional 25-person events agency, with conference notes spread across three pages. He needs one brief and a task list.
Minutes 0 to 3: draft the brief
On a new page he presses space and writes: Using @Kick-off call, @Client email summary and @Budget, draft a one-page project brief with objectives, audience, date, venue status, budget headline and open questions. Link each point to the page it came from.
Minutes 3 to 5: check the draft
He opens each linked source and checks the date, venue status and budget line. One open question is missing, so he asks for it to be added from the kick-off page.
Minutes 5 to 8: build the tracker
He asks Notion Agent to create a task database from the brief with Task, Owner, Due date and Status, then uses Autofill to suggest a category for each task.
Minutes 8 to 10: assign and verify
He replaces any owner the AI guessed with the real person and checks due dates against the client timeline.
How do I get better results from Notion AI?
Notion's own guide to better answers boils down to giving precise context and checking the sources.
Mention the pages and people you mean
Use @ to point Notion AI at specific pages, people and dates rather than hoping it finds them.
Say when and where to look
Notion says the AI sees when items were last edited, not created, and searches a recent window by default, so name the quarter or year and say you want your workspace searched.
Use the source picker
Narrow or widen which sources it searches, such as one teamspace or a connected app, when results are too broad or too thin.
Verify against the source page
Notion advises double-checking answers against the pages they came from and using page verification for trusted content.
What should I not put into Notion AI, and what do Notion's data terms say?
Do not use Notion AI on content your employer has not cleared for AI processing, and be careful when asking it to search widely: it can surface anything you have access to, including pages you had forgotten were shared with you. Follow your company's AI and data policy, and keep personal data about colleagues or customers out of prompts unless that policy allows it.
Notion's help pages say Notion Agent has the same permissions you do, so it cannot see or edit content you cannot, and it cannot share pages or change page permissions. Custom Agents work differently and only access resources they are granted. Notion's AI page says it will not use your data to train its models unless you opt in, that AI subprocessors are contractually prohibited from training on customer data, that no data is stored with LLM providers and that there is 30-day retention for non-Enterprise plans.
Where does Notion AI fall short?
Notion AI is only as good as your workspace. Outdated pages produce confident answers built on stale material. Notion's help centre also lists limits for Notion Agent: it cannot create database automations, templates or advanced properties such as formulas and rollups, cannot create or edit comments, and cannot answer from non-PDF embeds such as video transcripts.
Business and Enterprise plans have a usage allowance for some AI features, and AI Meeting Notes and Enterprise Search are labelled beta on Notion's product page.
How does Tosheo.ai teach Notion AI inside a role path?
Tosheo.ai treats Notion AI as a workspace assistant, so it appears in operations, project management and agency paths where documents and trackers are the daily work.
The diagnostic places each learner at the right level, and the 10 to 15 minute lessons combine a short explanation, a worked example and a hands-on task marked against a visible rubric. Team plan managers can add company documents and a shared team library so tasks use realistic material, and they see skill progress rather than raw chat logs. Plans start with a 7-day free trial and no credit card is needed.
